Position Summary

The Assistant Director of Stewardship reports to the Director of Stewardship Activities. This position’s primary responsibility is the planning and implementation of a variety of stewardship and university events including: fundraising events, donor dinners, major campus lectures, recognition and awards events, and sponsorship dinners.

Characteristic Duties

  • Reserves event dates with appropriate parties
  • Creates proposed event budget(s) and monitors approved budget(s)
  • Monitors the creation and processing of necessary purchase orders
  • Reserves facilities
  • Creates and monitors master event timeline
  • Schedules entertainment
  • Orders decorations, equipment rental and deliveries
  • Event set-up, takedown and follow-up
  • Prepares installation and event flow timelines
  • Creates and/or orders invitations, programs and other printed materials
  • Develops and edits mailing list, prints invitations/envelopes and mails invitations
  • Schedules and coordinates catering arrangements
  • Formats scripts and/or talking points
  • Maintains R.S.V.P. lists
  • Prepares nametags and/or place cards
  • Schedules brainstorm and other project development meetings
  • Develops event concept, staging and theme
  • Determines appropriate stewardship gifts and orders/wraps gifts
  • Other projects and tasks as assigned/needed

Minimum Qualifications

Bachelor’s degree; one to three years of relevant work experience; strong verbal and written communication skills; proficiency utilizing personal computers with Microsoft Office software, specifically Excel and mail merges; excellent organizational skills with keen attention to detail; ability to maintain strict confidentiality standards of the department/University; demonstrated effectiveness in working with the public as well as a variety of administrative levels; the ability to handle multiple tasks with multiple priorities while adhering to tight deadlines under high expectations of accuracy

Preferred Qualifications

Two years of relevant experience in a position of progressive responsibility; previous experience in a development office setting or event planning; experience in conceptualizing and creating recognition gifts
