Position Summary

The Department Assistant I reports to the Housing and Dining Systems Accountant Budget Officer. This position performs similar and routine tasks that require high organizational skills as well as sound decision making skills regarding the application of prescribed procedures and established departmental standards.

Characteristic Duties

  • Greets visitors and students in Residence Halls; answers and appropriately routes phone calls/messages
  • Processes changes and billings related to student assignments and meal plans
  • Responds to inquiries concerning housing/dining policies, procedures, and terms and conditions
  • Answers Live Chat correspondence
  • Guides student staff completion of administrative tasks, including occupancy verifications and safety inspections
  • Maintains accurate weekly occupancy reports
  • Works with the Residence Life Coordinator to staff and train evening reception desk workers
  • Works closely with supervisor on a continuing basis to review office work in progress
  • Develops strong working relationship with Residence Life Coordinator and Student Staff
  • Maintains communication with Housekeeping Staff to ensure that student rooms, bathrooms and common areas are appropriately serviced
  • Keeps the physical work area friendly and professional, as it is in a high traffic area
  • Other duties as assigned/needed

Minimum Qualifications

Specialized secretarial/clerical training which may be obtained through a high school, vocational, technical or business school; minimum 3 years of secretarial experience in a supportive role; ability to effectively communicate with a diverse group of people located both internally and externally to the university; excellent telephone/communications skills; excellent spelling, grammar and composition skills; proficiency utilizing a PC with a variety of software packages; generally requires a minimum score of 60% on Prove-It University testing software in Word and Excel; excellent organizational skills and ability to understand complex operations; proficiency with bookkeeping concepts; self-motivated and independent worker

Preferred Qualifications

Some college math/accounting coursework; three to four years secretarial experience in a supportive role; previous experience in a housing setting; knowledge of Colleague, Adirondack and Canelink for the University
