Position Summary

The Department Assistant II reports to and provides administrative support for two Directors of Development in a fast-paced environment. Specific responsibilities include: arranging donor visits and recognition gifts, answering and routing incoming calls to the office; composing routine correspondence; executing multiple mailings to key individuals; working with Donor Services to maintain and generate mailing lists; assisting with the arrangement and scheduling of foundation and corporate site visits as well as special events; and making travel arrangements including assembling detailed itineraries, maps, and background information. This individual will have extensive contact with university trustees, donors, alumni, faculty and staff.

Minimum Qualifications

Specialized secretarial/clerical training; two to three years’ secretarial and administrative experience; excellent written and verbal communication skills; proficiency using a PC with a variety of software packages including Microsoft Word and Excel; generally requires a minimum score of 70% on University Prove-It testing software for Word and Excel; excellent organizational skills; the ability to work under limited supervision; the ability to handle multiple tasks while meeting deadlines; a demonstrated commitment to providing quality customer service; the ability to maintain confidentiality; and a demonstrated effectiveness in working with a variety of administrative levels and diverse groups of people located both internally and externally.

Preferred Qualifications

Some college coursework; previous experience in a university setting; and knowledge of the University’s Colleague Advancement software is preferred.
