Position Summary

The Department Assistant II reports to the Coordinator of the Legal Clinic and is responsible for answering all incoming telephone calls and performing a variety of receptionist, clerical and secretarial duties in English and Spanish.

Characteristic Duties

  • Maintains appearance of reception area, conference room and kitchen
  • Greets guests
  • Opens, scans and distributes mail
  • Sends/receives faxes
  • Creates and closes client files
  • Light typing, filing, data entry, purchases supplies
  • Maintains paper supplies in copier, printers, and fax machine
  • Assists with case management and maintenance
  • Provides Spanish/English interpretation for students, attorneys and clients
  • Assists in providing technical guidance to students with regard to procedures and supplies
  • Provides clerical support to Legal Clinic Coordinator and attorneys

Minimum Qualifications

Formalized secretarial training which may be obtained through a high school, vocational, technical, or business school; two to three years of secretarial and administrative experience. Generally requires a minimum score of 70% on University Prove-It testing software for Word and Excel. Must be bilingual English/Spanish; high school diploma; knowledge of personal computers; ability to maintain confidentiality; excellent communication and customer service skills; demonstrated effectiveness in working with a diverse group of people; and excellent organizational and interpersonal skills.

Preferred Qualifications

Previous experience with English/Spanish translation and interpretation; previous experience in a law office environment; experience working with Word, Excel and other Microsoft Office programs. Some college coursework; knowledge of the University’s Colleague Advancement software.
