Position Summary

The Department Assistant reports to the Dean of International Student Services and Programs, and is responsible for a variety of complex secretarial/support duties in a fast paced environment supporting the admission and retention of undergraduate international students, including students in the English Institute for International Students. Specific duties may include generation of reports through university databases, creation and maintenance of student files, scanning of documents through Image Now, assisting with the check in process for new international students, initial processing of applications for admission, creation of admission letters, preparing FedEx mailings, communicating with prospective students via email, phone and in person, filing and data entry, and other duties as assigned.

Minimum Qualifications

Specialized secretarial/clerical training which may be obtained through a high school, vocational, technical or business school; three years of experience in an office setting; computer proficiency utilizing Microsoft Word, Excel, Outlook and Image Now; generally requires a minimum score of 70% on University Prove It testing software for Word and Excel; proven ability to work under limited supervision; proven ability to handle multiple tasks while meeting deadlines; proven success working with a variety of administrative levels and diverse groups of people; excellent written and oral communication skills; ability to maintain confidentiality.

Preferred Qualifications

Previous experience working in a university setting and familiarity with the University’s Colleague information system
